Payment

At the time of registering, Idlewood Inn expects full payment before any services are provided. Payment is accepted by cheque, credit card or cash. Cheques are made payable to “Idlewood Inn”.

 

Room Allocation

Rooms will be allocated to student residents at the beginning of the Academic term subject to availability. Shared student rooms are allocated by gender and request. If a roommate is not available for a student, that student may have a single room at shared room rates until a roommate becomes available to share a room. Guest room allocation will be on an availability basis and can be booked in advance or at time of walk-in.

 

Right to Privacy

Residents (including guests) are entitled to the privacy of their rooms, which are not entered by residence staff except under the following circumstances:

  • in case of emergency
  • for routine cleanliness and maintenance checks
  • if the caretaker needs to check and fix the heating, electrical, or plumbing equipment

The Residence Assistants and Manager of Residence are permitted to use their discretion in allowing access to a room for those with legitimate requests. No locking system can be changed on any door except by consent of the Manager of Residence.

 

Responsibilities

Each resident or guest is responsible for the furniture or other items of residence property in his/her room. Such property is not to be removed from the room, nor are other items of furniture located throughout the residence to be moved to residence rooms. A resident or guest causing damage or defacement to the door or interior of his/her room, including all furnishings, through negligence or malicious actions, will be liable for full reimbursement and may be subject to legal action. A resident or a guest waives all claims against the landlord and management for loss of or damage to clothing, valuables, or any personal property, including money. All residents and guests are encouraged to make personal arrangements for adequate insurance coverage.

 

Residence Rooms

Each resident will be responsible for keeping his/her room in a neat and sanitary condition at all times. NO TAPE (MASKING OR SCOTCH) may be used to put up posters or pictures. ONLY ADHESIVE PLASTICINE such as FUN TAC or BLUE TAC may be used. Equipment for cleaning rooms is available from the caretaker. Limited storage is available for suitcases and other personal items. The rooms are furnished with bed, desk, mattress, lamp, drawers and wardrobe closet. Student residents are expected to provide their own bedding, towels, etc., however this is also available from management if required. Bedding and towels are provided for all guest residents.

 

Guests

Guests invited by residents are subject to the same rules of conduct as residents. Residents are responsible for the conduct of their guests. All guests except those in residence must leave the building by 11:00 pm unless authorized otherwise by the Manager of Residence.

 

Quiet Hours

“Quiet Hours” are in force effective 11:00pm on Sunday through Thursday; and 12:00am on Friday and Saturday. Quiet hours is in force 24 hrs a day within the study rooms.

 

Vacating

A resident must leave the room CLEAN. The room will be inspected by the resident and Manager of Residence before all resident deposits are reimbursed. The cost of missing items of furniture and furnishings, damaged beyond normal wear and tear will be charged to the resident. If resident’s room is left unclean a cleaning fee of $20.00 per hour will charged. On vacating CLEAN shall be interpreted to mean the following.

  • Dresser and desk drawers empty
  • Book shelves are cleared of all material
  • All pictures, posters, are to be removed from all surfaces in the room.
  • All trash and garbage are removed from room
  • All material is removed from clothes closets(except hangers)
  • Floor must be swept

If anyone is vacating residence for any reason at the Christmas break, the rooms must be cleared out before leaving residence prior to the holiday season. Any item left after vacating date will be removed and a charge made for removal and storage.

 

Alcohol/Drugs

No alcoholic beverages are allowed in the communal building facilities. First time violators will face a $200.00 fine. Second time violators will face eviction. Under the provisions of the Criminal Code of Canada, possession, sale, use or distribution of drugs is strictly prohibited. Residents involved in such activities will be reported to the appropriate authorities and will be evicted.

 

Eviction

The Residence administration reserve the right to evict those persons deemed detrimental to the well being of the residence or residence community.

 

Pets

Pets are not allowed in the residence.

 

Non-Smoking

Idlewood Inn residence promotes a strict non-smoking policy indoors within communal areas. The indoors of the residence has been designated non-smoking. First time violators will face a $200.00 fine. Second time violators will face eviction. Smoking is only permitted outdoors on the site, or in designated smoking rooms, and smokers are requested to use the smoking trays provided.

 

Fire Protection

Extreme caution is requested and urged in order to avoid fire hazard. The use of any electrical appliance for heating or cooking in the residence rooms is prohibited. The items that cannot be used are: tea kettles, hot plates, coffee makers, frying pans, and toasters. Items that can be used are humidifiers, computers, and stereos. Residents are welcome to use the tea kettle, coffee maker, toaster, fridge in the dining area. All fire alarms, day or night, must be observed and the building evacuated at once. Any tampering with fire equipment or detectors will result in immediate eviction. Fire drills are held in autumn and spring.

 

Storage

Firearms, fireworks, ammunition, explosives of any type, or inflammable substances (such as gasoline, chemicals, etc) are not permitted in the residence.

 

Fines

The Manager of Residence has authority to impose fines on an individual and/or collective basis for behavior contrary to these regulations.

 

Cancellations

Rooms are subject to cancellation due to insufficient student registration at the sole discretion of Idlewood Inn. If this situation occurs, a full refund will be issued.

 

Waiting Lists

If the rooms at Idlewood Inn are full, you have the option of being put on a waiting list for the room or roommate of your choice (however, there is no guarantee that a space will become available). Students will be contacted only if a space becomes available.

 

Refunds

Refunds will be credited at the sole discretion of management, and will be credited to your account unless otherwise requested. No processing fee will be charged. If a refund is requested, a Refund Request Form must be completed and submitted to Idlewood Inn Site Manager for processing. A Processing Fee of $25 will apply to all refunds, whether by cheque or credit card and will be processed within 21 days of the receipt of the Refund Request Form.

For admission and goods purchases, refunds will be processed at the Facility with proof of purchase.

 

Returned Cheque /Declined Credit Card Fee

A service fee will be levied after two cumulative declined credit card payments and on all cheques returned as Non Sufficient Funds (NSF); Stop Payment; or Funds Not Cleared.

 

Seniors’ Discount

Residents who are 65 years of age and over will receive a discount of 10% when registering for a room.

 

Harmonized Sales Tax (HST)

The Harmonized Sales Tax (HST) of 13% applies to recreation programs, services and materials where applicable and is included in the fees.

Existing programs that were GST exempt remain HST exempt – for example, qualifying recreation programs for children 14 and younger and individuals with disabilities.

Non-Resident Fee

Non-residents will be charged a guest fee per person per service program.

 

Medication Administration

If the participant requires that Idlewood Inn staff be responsible for storing, administering, or supervising the administration of any medication, the participant or parent/guardian of the participant will be required to sign a release waiver at the facility where the program is being offered. Please contact the facility to obtain additional information.

 

Special Needs

Participants or parents/guardians of participants are asked to provide information regarding special needs requirements before the start of residence.

 

Children’s Fitness Tax Credit

Many City of Scarborough, Recreation and Cultural Services programs may be eligible for the Children’s Fitness Tax Credit. The Children’s Fitness Tax Credit is a federal, non-refundable, personal tax credit that lets parents claim up to $500 per year for eligible fitness expenses paid for each child who is under 16 years of age at the beginning of the year in which the expenses are paid.

If a child qualifies for the disability tax credit, parents can claim up to $500 per year in eligible fitness expenses paid for the child who is under 18 years of age at the beginning of the year. Also, if at least $100 in eligible fitness expenses has been paid for the child, an additional amount of $500 can be added to the eligible fitness expenses actually incurred.

Fees paid by parents must relate to the cost of a facility membership or registration in an eligible physical activity program. Your receipt will indicate whether the program that your child is registered in is eligible (see receipt wording).

For more information on this credit, please see the Canada Revenue Agency (CRA). The authority to determine whether any claim for a credit will be approved rests with the CRA. The City of Scarborough disclaims any responsibility or liability in connection with any determination of the CRA.

 

Fitness and Wellness Readiness

It is recommended that participants consult with their physician before participating in any physical exercise.

 

Fitness Memberships

Please note that membership cards are not transferable, remain the property of Idlewood Inn and must be returned to staff when requested.

 

Code of Conduct

In an effort to provide participants and staff with a safe and enjoyable environment, inappropriate behavior, foul language and aggressive behavior to other participants and staff is not permitted, as well as intentional damage to residence property and the property of others. Idlewood Inn reserves the right to take necessary measures including, but not limited to, suspension or termination of residential enrollment and/or contacting the police when any participant contravenes these policies and/or City of Scarborough by-laws.
